Employee portal privacy

This policy covers the invite-only employee portal at portal.wovensage.com, operated by Woven Sage Counseling. It does not replace our patient Notice of Privacy Practices.

What we collect

The portal stores employee name, email, role, and sign-in session data. If an authorized finance user connects QuickBooks, we store encrypted QuickBooks tokens and cash-basis financial summaries for the practice. The portal does not store patient records, diagnoses, clinical notes, or other protected health information.

How we use it

We use this information to authenticate invited employees, assign permissions, and show practice financial snapshots to people who already have financials access. QuickBooks data is used only to display accounting figures inside the portal.

Sharing

We do not sell portal data. QuickBooks Online is provided by Intuit. Hosting and storage run on Cloudflare. We share information only as needed to operate the portal, comply with law, or with a service provider under a confidentiality obligation.

Retention and access

Employee accounts remain until an owner deactivates them. Questions: admin@wovensage.com.
